Email Logs
Monitor email delivery and diagnose issues when users report not receiving notifications. The email log tracks every email sent from your Votlie installation.
Accessing Email Logs
- Go to Admin > Settings
- Click the Email Logs tab
Viewing Logs
The log shows all sent and failed emails with:
- Recipient email address
- Email subject
- Delivery status (Sent, Failed, Pending)
- Date and time
Click on any entry to see full details.
Filtering Logs
Use filters to find specific emails:
| Filter | Options |
|---|---|
| Status | Sent, Failed, Pending |
| Date range | Filter by time period |
| Trigger | Filter by template type (e.g., welcome email, vote notification, comment reply) |
You can also search by recipient email address or subject line to quickly find specific entries.
Email Statistics
At the top of the page, you'll see:
- Total emails sent - Overall count
- Success rate - Percentage delivered successfully
- Failed count - Emails that failed to send
These stats help you quickly identify delivery problems.
Diagnosing Issues
If users report not receiving emails:
- Search for their email address in the logs
- Check the status of recent emails to them
- If status is "Failed", check the error message
- Compare with your Email Setup configuration
Common causes of failures:
- SMTP credentials changed
- Hosting provider blocking outbound email
- Recipient's server rejecting emails
Cleaning Up Logs
To remove old log entries:
- Click Clean Up
- Set the retention period (1 to 365 days)
- Confirm
Log entries older than the specified retention period are permanently deleted and cannot be recovered. This frees up database space on active installations.
Choose a retention period that balances storage usage with your need to review historical email delivery. For most installations, 30-90 days is sufficient.
